Job Summary: The AHEC Coordinator is responsible for scheduling students, meetings, and community programs; organizing student experiences; developing and organizing trainings for the community and facility; maintain program databases; marketing program and experiences; and communicating with schools, strategic partners, and others on the mission of AHEC.
Primary Job Responsibilities:
- Assists the AHEC Director to meet the overall AHEC grant deliverables
- Maintains a student database with contact information
- Organizes materials and resources for community and facility trainings
- Provides written and verbal direction to students who are job shadowing, interning or precepting in Memorial Hospital, clinics or partnering agencies
- Works with other departments to coordinate speakers for various programs
- Assists in registering, scheduling, and maintaining AHEC schedule, and organizing WCILAHEC for events in which WCILAHEC participates in for the community or region.
- Enters data into i-AHEC database in a timely fashion to meet AHEC deliverables
- Assists in the promotion of educational/community events through media outlets
- Assists with creating and developing visually appealing program materials and uses the appropriate resources at Memorial Hospital to complete projects
- Reports need of departmental supplies to the department director
- Maintains support files for programs and educational activities
- Maintains a clean and organized work area
- Demonstrates excellent customer service and communication (both written and verbal) skills to internal and external customers (patients, students, employees, department staff, hospital staff, human resources staff, and community partners)
- Adapts positively to frequent changes and interruptions in workload and/or work schedules
- Participates in mandatory hospital programs and attends all departmental meetings
- Participates in quality improvement activities of the department
- Establishes/maintains productive collaborative relationships with physicians, other hospital staff and the community
- Travels within the region, state, and various locations to meet grant deliverables
- Submits travel and expense reports in a timely manner
- Develops reports as required to assist in meeting grant requirements
- Complies with the organizational attendance policy and use of the electronic timekeeping system
- Utilizes time efficiently and productively to enhance department operations and program success
- Complies with dress code
- Maintains confidentiality of student, staff, patient, and community information
- Completes other duties as assigned
HOURS: Monday-Friday, 8am-4:30pm, some evening hours may be required – Location – Memorial Medical Building, Carthage, IL
